Backup Plans for Your Outdoor Event – Here are five tips to help you to have a great event during inclement weather.
Every year our clients ask us to give them a weather contingency plan for their upcoming events.
We like to have plans in place, so the party can have a great esthetic as well as being comfortable for the guests. My favorite alternative is to have a clear tent placed up against the home or venue, so that the guests can have views rather than a white tent where you have to decorate it.
Once we have a game plan where the tent will be placed, then we can dial in the buffet, cocktail tables and/or dinner tables and the bar.
Our primary goal is to find alternatives to having your guests dining in the garage or being cramped in a small room. As party professionals, our job is to come up with great alternatives that will work with your budget.
Here are our top tips:
- Start watching the weather 10 days from your event. We recommend using a few different weather sources for accuracy.
- Call an experienced event planning company and have them do a walk-through at your home or venue with a reputable rental company to determine the best plan.
- Have a tent on standby – this is important to have one on hold after they have made the measurements.
- Make sure that your guests will be comfortable in case the temperatures start to drop. Your rental house will make recommendations for heating.
- Consider your guest flow from the guest entrance to where you will place the bar and buffet or if it is sit down as well as access to restrooms.
